You can review changes made to a SharePoint workbook before bringing them into your working copy. Use this when someone updates the original while you are editing, or when you want to compare earlier SharePoint versions with your copy. The linked history also identifies versions saved from Athena.

How to update your copy from SharePoint, then save safely

  1. Edit your copy
  2. Review what SharePoint changed
  3. Bring the changes in
  4. Choose what to keep
  5. Open Save to SharePoint
  6. Replace the original
  7. Check the version history
  8. Or save beside the original

Review incoming changes

  1. Open your working copy. When the original has a newer version, select Review changes or open the status menu and select Review SharePoint’s changes….
  2. Review the incoming cells beside your copy. Depending on your spreadsheet editor, the review appears in a comparison view or a Changes in SharePoint dialog.
  3. For cells changed on both sides, choose Keep mine or Take SharePoint. The comparison view also offers List to inspect the changes as a list.
  4. Select Update my copy when your choices are ready. In the dialog flow, select Bring these in first. If conflicts appear, choose what to keep and then select Update my copy.
  5. Review the updated workbook. Saving these results back to SharePoint remains a separate action.
You can use Keep all mine or Take all from SharePoint for overlapping cells. Other incoming SharePoint changes come into your copy with the update.

Compare versions

  1. Open the working-copy status menu and select Versions in SharePoint.
  2. Review the linked file’s history. Current in SharePoint marks the latest version. Your copy is based on this identifies the version your copy follows. Saved from Athena marks a recognized save from Athena.
  3. Select Check now to refresh the SharePoint information.
  4. Select Compare, then choose Start and End on the versions you want to compare. You can use a SharePoint version as either side of the comparison.

Good to know

You need continued access to the linked SharePoint file. Its history is read-only in this view. Comparing versions does not restore a version or save over the original. If SharePoint changes again while you review, the review refreshes or asks you to check the latest changes. Recheck your choices before updating your copy. Do not treat the version you first opened as the final version being applied.
