Learn ChatGPT export limits and how to test a multi-model setup. > You can reduce AI vendor lock-in by keeping source data, instructions and editable files outside your chat account. AI vendor lock-in makes leaving a provider difficult or costly. Your team may need to recover information, rebuild connections and check replacement results. Start by separating four parts of the work. * **Prompts:** Keep instructions, examples and acceptance rules in a shared folder. Give each version a date and owner. * **Data:** Preserve original records, source dates and access requirements. Record which information the task needs and who can approve access. * **Files:** Retain editable workbooks, decks and documents alongside the conversation that explains them. Keep approved assumptions with the finished output. * **Workflows:** Describe triggers, sources, destinations and approval steps. List the connections an administrator must recreate, with credentials held in approved secret storage. This inventory gives you a practical starting point for an exit folder. A colleague should be able to find the inputs and understand the expected result. ## What does a ChatGPT export preserve? OpenAI lets eligible accounts [export chat history and account data](https://help.openai.com/en/articles/7260999-exporting-your-chatgpt-history-and-data) through ChatGPT settings or its Privacy Portal. OpenAI's instructions say to open **Settings > Data controls > Export data > Export**, then confirm. OpenAI says the export can take up to seven days, and the download link expires after 24 hours. Open the ZIP and check the conversations your team needs. OpenAI says to [upload the exported conversation JSON as reference](https://help.openai.com/en/articles/9106926-transfer-exported-conversations-between-chatgpt-accounts) in a new conversation for another personal account. JSON is a structured text format containing the chats. Keep a readable copy of important decisions in your exit folder. For a finance task, save the approved assumptions, workbook version and review decision together. That makes the archive useful to someone taking over the work. ## How do we prepare to switch AI vendors? Start with one recurring task. Choose work with clear inputs, a named reviewer and an output you can check. 1. **Inventory the work.** List source files, instructions, examples, schedules, connections and approvals. Name an owner for each item. 2. **Build an exit folder.** Save prompts as text, records in agreed formats and outputs as editable business files. Record each file's date and purpose. 3. **Define a passing result.** For a reconciliation, require every unmatched transaction, source row references and an editable workbook. Agree on these checks before comparing models. 4. **Run the task elsewhere.** Use the same approved inputs and instructions. Compare calculations, references, missing-data handling and file structure. 5. **Test the connections.** Check permissions, triggers, destinations and approvals on copies or a staging destination. Check that retries avoid duplicate records and failures reach the owner. 6. **Prove the handover.** Have a colleague complete the task from the exit folder without your chat session. Repair gaps and repeat the exercise. Use a monthly management pack as a synthetic test: one workbook, one presentation and one commentary document. Ask the replacement to update the next period. Check whether the figures reconcile and the reviewer can find the sources. Synthetic figures let you test the handover without exposing business data. Keep the previous process available until the replacement passes your agreed checks. ## Does a multi-model platform remove lock-in? A multi-model platform gives you more than one model option. Google's Agent Development Kit supports [external and locally hosted models](https://adk.dev/agents/models/), model selection during tasks and backup models after errors. Google lets developers configure those choices in their agent application. Athena places model selection beneath its agents and procedures. Google ADK supports model routing, and Athena supports model routing. Separate two exercises: * **Change the model:** Run the existing task with a replacement model inside the current system. * **Leave the platform:** Give another team the retained materials and have it recreate the process elsewhere. Use the same inputs, expected outputs and review steps for both exercises. Record a passing baseline so reviewers can compare the replacement with accepted work. Changing models keeps the platform setup; leaving a platform means taking saved materials, rebuilding the workflow and handing over the task. Both paths use the same figures, sources and approvals. ## How do ChatGPT, Copilot, Gemini and Athena compare? Choose the row that matches your account and task. The export routes below help retain work; use the same complete-workflow test for every product. Switching AI, compared by question. Google says Gemini Apps also [exports drafts to Gmail](https://support.google.com/gemini/answer/14184041?hl=en). Google says that with an eligible Workspace or Google AI plan, Gemini in Sheets can [insert editable charts and perform spreadsheet actions](https://support.google.com/docs/answer/14356410?hl=en). Include the chosen storage arrangement in your handover inventory. ## What to plan for Keep these limits together in your exit plan: * **Account scope:** OpenAI says ChatGPT self-service export is unavailable in Business, Enterprise and Healthcare workspaces. Arrange organization-managed access with your workspace owner. * **Transfer scope:** OpenAI says uploaded ChatGPT exports do not recreate separate chats or transfer files, memories, GPTs, settings or workspace access. * **Model changes:** Anthropic advises that [prompts and reasoning settings may need adjustments](https://platform.claude.com/docs/en/build-with-claude/prompt-engineering/claude-prompting-best-practices); test replacement results against the same acceptance rules. Reasoning settings control how the model approaches its work. * **Retirements:** OpenAI API [model retirements can require application updates](https://developers.openai.com/api/docs/deprecations). Anthropic recommends [testing replacement models before retirement](https://platform.claude.com/docs/en/about-claude/model-deprecations). * **File fidelity:** Athena flags unusual embedded objects that may fail import. Check formulas, macros, charts, comments and slide masters in downloaded files. * **Platform exit:** Agree on procedure definitions, permissions, history, assistance, retention and exit costs in writing. Test unfinished tasks as part of the handover. Assign an owner to keep the exit folder current. Repeat the exercise when the workflow, provider or required output changes. ## Questions teams ask OpenAI lets eligible accounts export chat history and account data. Keep final files and instructions separately for the handover. OpenAI says to upload exported conversation JSON as reference in a new personal-account conversation. Use it to recover decisions and context. Run it against the same acceptance rules. Save the original prompt and record changes made for the replacement. Ask it to run your task with two approved models and preserve the required outputs and approvals. Request a separate platform-exit exercise.
